Why do my emails go to spam? The real reason, in plain English
A customer emails you and your reply lands in their spam folder, or never shows up at all. They assume you ignored them and take their business somewhere else. It’s almost never your wording that caused it. Emails go to spam because your domain fails the identity checks that Gmail and Outlook run before they trust a message, and most small-business owners have no idea it’s happening to them.
The part that stings is that nothing tells you. There’s no bounce, no error, no warning. The message just quietly doesn’t arrive, so you keep wondering why replies feel slow and leads go cold, with no clue the problem is your own domain.
It’s not your words, it’s your sender
People picture a spam filter reading their subject line and judging the tone. That barely matters anymore. Before an inbox looks at a single word, it asks one blunt question: can I prove this email really came from the domain it claims to come from? If the answer is no, the message gets held back or dropped, no matter how polite and well written it is.
So the fix is almost never rewriting your email. It’s fixing what your domain says about itself.
The test almost everyone trusts, and why it lies to you
Here’s the trap. You email yourself to check, it lands in your inbox, and you decide everything’s fine. But a letter mailed to your own house always arrives, because the postman already knows where you live. It tells you nothing about whether a stranger’s inbox would let your mail in.
The only honest check looks at what an outside inbox sees before it decides to trust you: the records your domain publishes about who is allowed to send on its behalf. That’s a completely different thing from a message reaching your own screen.
What an inbox actually checks
Three small records in your domain settings answer that “can I prove it” question. You don’t send them; they sit in your DNS and receivers look them up.

A domain set up right looks unremarkable to a receiver: the sender is on the approved list, the signature matches, and there’s a clear policy. That quiet, boring pass clears the most common reason small-business mail gets filtered. Why yours is probably the one failing
The email you type by hand from Gmail or Outlook works fine, because those providers authenticate for you. The email your systems send is where it breaks: order confirmations, form notifications, password resets, CRM alerts. Each of those goes out through a different service that needs its own permission in your DNS, and by default that permission is usually missing.
It used to be a minor annoyance. Since 2024, Gmail and Yahoo started rejecting mail that fails these checks instead of just filing it away, and Microsoft followed in 2025. When we scanned 4,673 small businesses, most were getting at least one check wrong and almost none of them knew. Common questions
Will changing my subject line or removing links help? Rarely. If you’re failing the identity checks, the content is not what’s holding you back. Fix the records first, then worry about wording.
I use a normal provider like Google Workspace. Am I safe? Only for the mail you send by hand. Anything sent by your website, store, or marketing tool still needs its own SPF and DKIM setup, and that’s what usually breaks.
Is this expensive to fix? No. There’s no software to buy. The records are just text entries in your domain settings, free to add. What takes the know-how is figuring out which ones you need and writing them correctly.
What if everything passes and my email still goes to spam? Then the cause is further down the line: your domain or sending IP has a weak reputation, you’ve landed on a blocklist, or the content itself is tripping filters. Authentication is necessary but not the whole story, so a clean pass rules out the most common cause, not every cause.
