Why real estate agents' emails land in spam more than anyone else's

If your listing alerts, offer confirmations, or closing documents keep ending up in a client’s spam folder, you’re not imagining it and it’s probably not your email provider. When we scanned 4,673 small businesses across the US and Canada, real estate had the most broken email setup of any industry: 62% were missing at least one of the records inboxes now check before they’ll trust your mail.

Why real estate specifically

Real estate runs on email that gets sent automatically. Listing notifications, IDX alerts, DocuSign requests, drip campaigns from your CRM. All of that goes out through tools and servers that are not your personal Gmail or Outlook, and each one needs permission to send on behalf of your domain. Most agents never set that permission up, because nobody told them it existed.

So the mail you type by hand from your own inbox arrives fine, while the mail your systems send on your behalf quietly fails. It’s the same trap every WordPress site owner hits, just with a different set of tools bolted on top.

Even the best-performing industry we scanned had four in ten businesses with a gap. Real estate was simply the worst of a bad field. The most common missing piece across everyone was DKIM, the signature that proves an email actually came from you and wasn’t tampered with on the way.

The three records that decide it

  • SPF lists which servers are allowed to send email for your domain.
  • DKIM signs each message so the receiver can confirm it really came from you.
  • DMARC ties those two together and tells Gmail and Outlook what to do when something fails.

There’s a second reason to care

For most industries a broken setup means lost mail. In real estate it also means someone can pretend to be you. Almost nine in ten of the agents we scanned had nothing stopping a stranger from sending email that looks like it came from their exact address. That is the gap criminals exploit in wire-fraud scams, where a buyer gets “updated closing instructions” from what looks like their agent and sends the down payment to a thief. Enforcing DMARC shuts that specific door, though it won’t stop a lookalike domain or mail from a hacked inbox, so treat it as one important layer rather than a complete fix.

How to check yours in 30 seconds

Don’t rely on a “send a test email” button. That only proves the message left your system, not that an outside inbox would accept it. You need to see what Gmail and Outlook actually check: your SPF, DKIM, DMARC, and MX records.

Quick answers

Why do only my automated emails go to spam and not the ones I type? Because they travel through different servers. Your hand-typed mail goes through Google or Microsoft, which authenticate properly. Your CRM, IDX, and e-signature tools send on your behalf and need their own permission in your DNS, which is usually missing.

Is this expensive to fix? No. These are DNS records, not software. The records themselves are free to add; the only real cost is knowing which ones you need and getting them right.

Will fixing this stop the wire-fraud impersonation too? It closes one important door: the one where a criminal forges your exact address, which a proper DMARC policy tells inboxes to reject. It won’t stop a lookalike domain (something like agent-realty.com instead of agentrealty.com) or mail sent from a hacked inbox, so treat it as one layer of defense, not the whole thing.
